Preschool Learning Kit Checklist: Books, Materials & School Supplies

A preschool learning kit can mean a set of books, classroom activity materials, or a child’s complete school supply pack. Before comparing suppliers, write down which of those your school needs. A lower price is only useful when you are comparing the same contents, quantities and support.

This checklist is for school owners choosing materials for Playgroup, Nursery, LKG and UKG. It separates academic materials from everyday supplies so you can build an itemised order. If you are a parent, first ask your preschool for its book list; a school programme may not be sold as an individual home-learning kit.

1. Start with the learning programme

Ask to see a sample teaching sequence alongside the corresponding book pages. Check how the materials support conversation, shared stories, movement, exploration, making and early literacy and numeracy. A book list alone does not tell you how a teacher will use the kit.

Questions for your curriculum supplier:

• Which classes does the programme cover, and how does the work change between levels?
• Can a teacher trace an activity to its learning purpose and book reinforcement?
• What teacher guidance, training and preparation are included?
• How are observations recorded and shared with families?
• Which materials must the school supply separately?

2. Confirm the books for each class

Ask for titles, quantities, edition and sample pages, not simply “one book set”. Check whether school-branded covers are included and who approves the final artwork.

LKG and UKG share book titles, but represent different class levels; confirm the level on every sample and order line. See the book sets and preschool kit contents before requesting a quote.

Also confirm whether the academic package includes home-link materials, progress report booklets, teacher manuals and training resources. These may be separate items even when workbooks are included.

3. Separate learning materials from consumables

List reusable classroom resources separately from each child’s stationery. This makes it easier to compare an activity kit with a workbook-and-supplies package.

For stationery, record quantities and specifications for:

• Crayons, colour pencils and washable sketch pens
• Pencils, erasers and sharpeners
• Slate and chalk, where your programme uses them
• Practice notebooks and a pencil pouch
• Art and craft materials and any refill packs

Ask which products are appropriate for the children who will use them, what supervision is needed and what product information the supplier can provide. Do not assume every pictured item is included: use the written contents list as the basis of the order.

4. Check uniforms, bags and personalisation

If your school wants a complete student kit, confirm:

• Uniform options, size chart, measurements and quantities
• Whether the sports set and socks are separate line items
• Bag dimensions, carrying comfort and compartments
• School logo placement and artwork approval
• Size changes, replacements and top-up ordering terms

For identity materials, check the ID card, lanyard, name-label quantities and book-cover sizes. Agree on a process for approving names and classes before printing. Ask how roster information is transferred and handled.

A water bottle, lunch box, jumper or second uniform may be optional. Label extras clearly instead of assuming they are part of the base kit.

5. Compare preschool curriculum and book providers

Start with the educational programme, not a headline book count. Ask each preschool curriculum and book provider to show how its class sequence, teacher guidance, books and assessment fit together. Then compare the same class, number of children and selected items across suppliers. There is no useful universal preschool kit price without a defined contents list.

Use these lines in your comparison sheet:

• Academic books and curriculum access
• A sample learning sequence linked to the corresponding book pages
• Teacher resources and training
• Assessment and school-to-family reporting support
• Per-child stationery and shared classroom materials
• Uniforms, bags and identity items
• Cover design, logo printing and personalisation
• Optional extras and refills
• Taxes, delivery charges and payment schedule
• Missing-item, damaged-item and replacement terms
• Additional orders for children who join later

Mark anything that is not specified as “to confirm”, rather than treating it as included. Request an updated written quote when you change quantities or add-ons.

6. Plan delivery and acceptance

Work back from the date your school needs materials in classrooms. Agree on deadlines for class numbers, uniform sizes, roster data and cover artwork. Ask what happens if admissions change after the order is confirmed.

When the delivery arrives:

1. Count packs against the order and delivery note.
2. Check book levels, titles and approved cover artwork.
3. Check uniform sizes, stationery quantities and personalised names.
4. Record missing or damaged items and contact the supplier within the agreed reporting period.
5. Keep the approved quote and item list available for later top-ups.
